Better Staff Recruitment are seeking an Experienced Administrator for their client located in Hither Green London SE13.
The position is offered on a permanent full-time basis, of which the first six months will be a probationary period.
Hours: 8.00 am – 5.00 pm – Monday to Friday
Job Role:
The successful candidate will be the first point of contact for visitors and callers and assist/carry out with a wide range of administrative tasks as identified by the Office Manager.
Main Duties
Telephone System/IT
- Operate main telephone system: transferring to correct department/person. take messages and pass on via email.
- Listen to voicemail messages to main office number and re directed appropriately.
- Report telephone equipment and line faults.
- Review and update on a regular basis the staff contact, and telephone extension lists.
- Report on IT issues and faults to service providers.
Reception
- Greet and welcome visitors to the Offices.
- Check and sign for deliveries, before informing the relevant member of staff of their arrival.
- Book couriers for tenders/contracts on behalf of members of staff.
- Monitor and ensure that the reception area is kept tidy.
Post and Couriers
- Process and deliver internal and external mail daily.
- Book couriers for tenders/contracts on behalf of members of staff.
Process Orders
- Order Office supplies and Refreshments
- Book scaffold licenses and permits include raising orders to suit.
General Administrative Works
- Assist with ISO procedures and audits, PQQs and H&S accreditations.
- Provide administrative and other adhoc support to the Office Manager.
Candidate Profile
- At least 3 years’ working within an office environment and ‘front of house’ experience.
- Have excellent verbal communication skills
- Computer literate, with keyboard skills (Microsoft Word/Excel) combined with ability to acquire other skills as necessary (e.g. databases and spreadsheets).
- Be able to take notes and telephone numbers down correctly and pass on messages.
- Good Customer Service Skills
- Familiarity with the use of office equipment i.e. PCs, photocopiers, franking machine, laminators etc.
- Good writing/note taking skills
- Good interpersonal skills
- Ability to work on your own initiative and take responsibility where necessary and to work as part of a team.
- Smart and business-like appearance.
